Daily Transaction Upload and Settlement Verification
All transaction records from Octopus readers should be uploaded daily, or within the period specified in the service agreement. Merchants should also immediately review and verify settlement reports upon receipt, and report any data or financial discrepancies to their first-line technical support team.

Long Holiday Reminder for Merchants
Octopus Cards Limited (OCL) will email a reminder to schools and copier/printer service providers one to two weeks in advance of long holidays, such as Chinese New Year, reminding them to upload their Octopus transaction data on time to avoid overdue settlements.
Maintenance & Update

Firmware Updates for Back-Up or Newly Installed Octopus Readers
Octopus transaction data should be uploaded and blacklist and parameters (e.g. firmware and fees schedule) updated with handheld devices before any back-up or newly installed Octopus readers are deployed. In the event of an error on the firmware and fees schedule, merchants should stop using the Octopus reader and contact our Equipment Management Services manager.

Transaction Upload for Inactive Readers, and Data Updates before Suspension or Resumption of Use
All transaction data should be uploaded to OCL before temporarily suspending use of an Octopus reader, e.g. for maintenance and repair. To re-activate an inactive Octopus reader, the data must first be synchronised between the reader and the Octopus server by updating the files in the inactive reader, to ensure all settings and configurations are up-to-date.

Regarding data exchange through broadband networks, certified system integrators can help merchants set up OSDX if they wish to switch to this channel for data uploads and downloads.

Maintenance and Battery Replacement for Multi-purpose Octopus Processors
To ensure proper functioning of Multi-purpose Octopus Processors (MOPs) and avoid transaction errors, MOPs should be returned to Octopus Equipment Maintenance Centre within 6 months before end of 4-years services lifetime, for battery replacement and regular maintenance.
